Main Responsibilities:

The purpose of the Casual Secretary position is to provide clerical expertise and administrative support to ensure the efficient operation of the school office. This role also delivers responsive customer service to students, staff, and the school community, contributing to a welcoming and safe school environment.

  • Provide clerical expertise to school administration, staff, and the school community by supporting school correspondence and communication, filing and maintaining documentation/records, providing reports, and updating calendars, in accordance with administrative procedures and board retention policies.
  • Provide front office support by answering phones, greeting and assisting students, staff, and visitors, accepting deliveries and student items, and addressing inquiries promptly to support the daily operations of the school. 
  • Monitor and record daily student attendance to ensure accurate and complete records in accordance with school board policies and attendance procedures.
  • Process student admissions, transfers, and demits by verifying registration documents, confirming school eligibility, notifying appropriate staff, and coordinating document transfers.
  • Assist staff, students, and school community members with gaining access to and troubleshooting various online school application systems, referring significant issues to Information Communication Technology (ICT) for further support.
  • Maintain emergency bags with all required items/documents to ensure bags are up to date in the event of an emergency.
  • Troubleshoot and maintain photocopiers and printers to ensure functionality and refer concerns to ICT department and/or vendor.
  • Support bus planning by verifying student and route information using appropriate bus management system/platform.
  • Assist teachers with trip planning including supporting bus bookings and appropriate documentation.
  • Update and maintain online student records using the appropriate student information system to ensure accurate and current data.
  • Coordinate school office supply and equipment orders by using applicable ordering and/or inventory systems in accordance with board purchasing policies and administrative guidance.
  • Provide volunteers with support related to criminal record checks and update volunteer management system to ensure compliance with board volunteer policies.
  • Assist with entering school permits to support after school use and liaise with Community Use of Schools department as appropriate.
  • Collaborate with administrators to organize student medication and documents related to plans of care ensuring secure storage within the office.
  • Support with tasks related to graduation preparation under the direction of school administration.
  • Assist administration in coordinating with public health units (i.e. immunization records, screenings, scheduling visits) to support the Ministry of Education and board requirements.
  • Assist with coordinating school photo day logistics by generating reports, uploading student photos, and distributing photo proofs/orders to ensure an organized and efficient process.
  • Record student injuries and submit appropriate reports for major incidents under the direction of administration to ensure accurate documentation is maintained.
  • Create and maintain Ontario Student Records (OSR), for new and existing students, respond to requests for information, and/or transfers of student records.
  • Other duties as assigned by school administrators.

Qualifications:

  • Completed Secondary School Diploma or equivalent years of experience.
  • Minimum six (6) months of experience in office administration.
  • Intermediate level computer skills in word processing, spreadsheets, and databases.
  • A Police Record Check with Vulnerable Sector Search (VSS) and Pardoned Sexual Offenders Database Search dated within six (6) months prior to the date of hire, is a requirement for employment.

Effort and Working Conditions:

  • Primarily office-based work environment with frequent interruptions, requiring the ability to shift between tasks and manage competing priorities.
  • Moderate pressure to meet deadlines and handle interactions that may be challenging.
  • Tasks involve moderate visual exertion and keyboard use, including activities such as data entry and financial tracking.
  • Moderate lifting and handling of materials, including boxes of paper, deliveries, and student records.
  • Moderate exposure to bodily fluids, illness, and/or allergens due to in-person contact with students and/or staff.
  • Some travel may be required.

Recruitment Process:

  • Stage 2 – Assessment: Applicants selected to move forward  will be invited to complete a computer-based assessment on February 12, 13, 17, 19, or 20.
  • Stage 3 – Interview: Candidates who are successful in the assessment stage will be invited to schedule an in-person interview on February 24 or March 5.
  • Stage 4 – References: Following the interview, reference checks will be completed for successful candidates. 
  • Stage 5 – Offer of Employment & Onboarding: Successful candidates will receive an offer of employment with an anticipated start date of March 23. Please note that mandatory training for this position will take place on March 23 and March 30. This onboarding is required for the role and is not offered on a regular basis; therefore, availability to attend is expected.
